The American Veterinary Medical Association (AVMA), the national nonprofit association established in 1863 that represents more than 105,000 veterinarians working in private and corporate practice, government, industry, academia, and uniformed services, is seeking an Administrative Assistant to join our Division of Animal and Public Health, located at our Headquarters office in Schaumburg, Illinois – a northwest suburb of Chicago. The AVMA’s mission is to lead the profession by advocating for its members and advancing the science and practice of veterinary medicine to improve animal and human health.
This position will provide administrative support to the Division Director; along with other professional staff of the division/Public Policy unit, and governance entities, as requested. This position will coordinate meetings, prepare minutes and correspondences, arrange travel, update policies, process invoices, provide general office support (file, mail, copy, maintain inventory); along with other duties as assigned.

Bachelor’s degree or equivalent work experience is required.
Minimum of 3-5 years administrative office experience; association experience is preferred.
Highly organized and detail-oriented, with the ability to handle a variety of responsibilities.
Excellent interpersonal and communication skills, both written and verbal.
Ability to work independently and as part of a team.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe, and virtual meeting software, including Zoom and Teams.
Experience handling and protecting confidential information.
Ability to work outside of normal business hours, including weekends, as needed.
Must be able to travel on behalf of the AVMA, if required.
